We are seeking an experienced, highly organized, and proactive Executive Assistant (EA) to provide dedicated administrative support. The EA will be responsible for managing email correspondence, scheduling, travel arrangements, and various organizational tasks to ensure efficiency and productivity. The ideal candidate is an effective communicator, technologically proficient, and highly detail-oriented.Key Responsibilities
- Email Management
- Respond to all executive emails within 24 hours.
- Develop and maintain an efficient email processing system.
- Sort and prioritize incoming emails, drafting responses when appropriate.
- Minimize executive's email time to no more than 5% of their workload.
- Travel Coordination
- Handle all travel arrangements, including flights, hotels, and transportation.
- Ensure travel schedules align with executive commitments and preferences.
- Utilize online booking platforms efficiently to secure the best travel options.
- Scheduling & Communication
- Manage the executive’s calendar, including scheduling meetings and appointments.
- Coordinate with podcast guests after the initial communication from the executive.
- Ensure timely follow-ups and confirmations for all scheduled engagements.
- Event & Course Administration
- Organize and schedule Radical Learners courses.
- Handle all administrative aspects related to course planning and execution.
- Book and coordinate meeting spaces, particularly conference rooms in Lawrence, KS.
- General Administrative Support
- Assist in offloading tasks from other team members as needed.
- Provide support in special projects and additional assignments as directed.
- Maintain confidentiality and handle sensitive information with discretion.
Qualifications and Requirements
- Proven experience as an Executive Assistant, administrative support, or in a similar role for a minimum of 3-5 years.
- Industry knowledge in education is highly preferred but not required.
- Exceptional written and verbal communication skills, with a strong command of grammar and emotional intelligence.
- Highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.
- Proficient in Zoom, Apple, and Microsoft software, with the ability to learn new technologies quickly.
- Skilled in using online travel booking platforms.
- Reliable and committed, with a professional approach to workload management.
- Strong problem-solving abilities and proactive thinking.
- A positive attitude, emotional intelligence, and the ability to work independently.
Additional Information
- The EA is expected to provide advance notice for any time off to ensure seamless operations.
- This role may involve occasional after-hours availability depending on executive needs.
- Will be required to travel once a year to our annual Teaching Learning Coaching Conference.
